We are looking for an Executive Assistant to the Managing Director in Eaton’s electrical business, based in Mascot, Sydney. This exciting role offers the opportunity to:

Be responsible for the administration duties for the MD, including calendar, meetings, travel and expense management.

Your essential responsibilities:
  • Coordinate schedule of meetings and events for Eaton Senior Leadership Team

  • Support the MD in coordination senior management activities including reports, business reviews, customer meetings, supplier meetings and business communication

  • Assist in the preparation of documents and presentations (PowerPoint, Word, Excel) and as required take meeting minutes and follow-up to ensure closing of action items

  • Responsible for making international travel arrangements for senior managers

  • Responsible for negotiating annual contracts with travel partners and suppliers

  • Responsible for maintenance of the customer and supplier contract register

Deal effectively with a matrix multinational company and culturally diverse population

Qualifications

If you have:
  • Bachelor’s degree preferred but not essential
  • Organized yet flexible, detail oriented and quick to learn is essential

  • At least 5 years working experience
  • Excellent interpersonal skills and project coordination experience

  • Fluent in English, with a high level of verbal reasoning

  • Demonstrated ability to work well with all levels of management and staff as well as customers and suppliers, while maintaining confidentiality and discretion

  • Enthusiastic, intelligent, articulate, trustworthy and positive “can do” self-starter

  • Highly motivated and results driven with problem solving and decision-making skills

  • Strong computer skills (high level PowerPoint, moderate level Word & Excel)
