Order and contract management specialist (with French)

Job Description

This role will be part of the French speaking customer service team in our Budapest Shared service center. This role will be dealing with some of our key customers in France.


Essential Functions:


·         Registration of ADHOC orders

o   Analyzing service orders upon receipt

o   Making sure that the serial numbers of the devices ordered are in the database (adding then as required)

o   Creating the Service Request (SR) the ERP system (Oracle) so that the Field Service Engineer (FSE) can intervene on customer sites

o   Booking the order in the ERP system (Oracle) so that the items are properly shipped

o   Closing SRs once debriefed by FSE

o   Providing information to the sales and service engineers


·         Registration of purchase orders

o   Booking the purchase order (PO) in the ERP system (Oracle) to order items and/or service to external providers

o   Sending orders to suppliers

o   Following delivery deadlines and remind suppliers if necessary

o   Performing receipt of purchase orders in the Oracle ERP


·         Portfolio and existing contracts management

o   Regularly analyze the backlog of orders to make sure everything can be invoiced on time

o   Send reminders to service engineers and technicians if needed

o   Invoicing orders and contracts (service providers and customers)

o   Assisting the sales force and the customer credit in the management of the payments and the possible reminders

o   Issuing credit notes to customers (identification of causes, generation of credit, documentation of reasons...)

o   Proceeding changes/updates in the database (products replaced on contracts)

o   Anticipating and updating contracts status progressively

o   Ensuring that the actions planned in the contract are carried out and relaunching the service or sales engineers if needed

o   Managing the renewal procedure within the limits and authorizations provided by the internal procedures

o   Interfacing with the customers when necessary


·         Registration of new maintenance contracts

o   Receiving the new service contracts generated by the sales team

o   Checking terms and conditions of contracts

o   Proceeding to the registration of contracts in Oracle according to the current procedures (checking / creation of the customer account, conditions of renewal of the contract, acknowledgment of receipt, checking coverage, assignment of the technician, customer contact ....)

o   Invoicing the new contracts

o   Providing information to the sales force (service and sales engineers)


·         Analyzing & Reporting

o   Analyzing the required states/conditions to manage the different stages and status of the contracts

o   Making the necessary reporting to the sales force and regional managers


·         Organization

o   Training and supporting newcomers

o   Ensuring the back-up of missing colleagues

o   Participating in process improvement initiatives related to the activity






·         Fluent in French

·         Good English capabilities

·         Previous experience in either Order Management / Customer Service / Logistics / Contract management roles

·         University degree

·         Customer focus

·         Able to multi-task

·         Able to work under pressure

·         Flexible and organized
